Bay 02 · The racks
Every strip has a batch, an expiry and a rack. Oxewill knows all three.
A pharma godown is not one stock figure per item. It is dozens of batches of the same item with different expiries, MRPs and rack positions. Oxewill tracks each batch from the purchase bill to the chemist's invoice, bills the earliest expiry first, and refuses to bill a batch that is expired or recalled.

Inside Batch & Expiry Stock
What it does, line by line.
Batch-wise stock
Quantity, MRP, purchase rate, expiry and manufacturing date held per batch. Purchase bills create batches automatically from the company invoice.
FEFO billing
The batch closest to expiry that is still saleable is picked first. Staff can override only with a reason, and every override is logged.
Expired and recalled batch block
Batches past expiry, or marked under a company recall or a regulator alert, are locked. They cannot be billed, transferred or issued as free goods.
Near-expiry watch
Batches inside your chosen window, such as 90 days, are flagged in amber so you can push them through schemes or line them up for return before the company's cut-off.
Rack and godown locations
Assign rack, shelf and bin to every batch. Picking lists show where to go, and stock can be split across a main godown, a cold room and a second warehouse.
Cold chain items
Vaccines, insulin and other cold chain items are marked separately, kept to the cold room location and printed on their own picking slip.
How it moves
From the first step to the last.
Purchase in
Company invoice is entered or imported. Batches, expiries and MRPs are created.
Put away
Each batch is given a rack and bin. Cold chain items go to the cold room.
Billed FEFO
Orders draw from the earliest-expiring saleable batch.
Watched to the end
Near-expiry batches move to schemes or returns. Expired ones are locked.
Regulatory and responsible AI
What Oxewill does, and what stays with you.
- Drug-licence conditions, schedule records and other drug-law compliance remain the distributor's responsibility. Oxewill keeps the records organised and ready for inspection.
- Expired and recalled batches are blocked from billing.
- Chemist and company data is encrypted and never sold or shared between distributors.
Questions
About Batch & Expiry Stock.
Does it block expired medicines?
Yes, automatically at billing. An expired batch cannot be added to a sale bill, a free-goods line or a stock transfer.
Does it handle Schedule H and H1 records?
Yes. Items are tagged by schedule, and Schedule H1 sales are recorded with the buyer, batch and quantity in a register you can print or export for inspection.
Can we keep stock in more than one godown?
Yes. Each godown and cold room keeps its own batch stock, with transfers between them recorded batch by batch.
